Our Booking Terms & Conditions


1.1  Confirmation

When you make your booking you must complete a booking form accepting, on behalf of your party, our terms and conditions and pay a deposit of 30% of the full price of the holiday.  A contract will exist when we issue our confirmation and receipt of deposit.

 

1.2  Balance

The balance of the price of your holiday must be paid at least 8 weeks before your arrival date.  If the balance is not paid by then we reserve the right to cancel your holiday, retain your deposit and apply cancellation charges as set out below.

 

1.3  Cancellation by You

You may cancel your holiday at any time provided that the cancellation is made by the person signing the booking form and is communicated to us in writing.  If you cancel more than 8 weeks before your arrival date we will retain your deposit.  For cancellations within 8 weeks of your arrival date you must pay the balance in full.  We will do our utmost to re-let your week(s) and, if successful, will return to you all monies paid providing we have received full rental price for the week(s).  Please note in all cases we will retain an admin fee of €500 per week.

 

1.4  Cancellation by Us

We reserve the right in any circumstances to cancel your holiday, however, we would endeavour not to cancel your holiday less than 8 weeks before your scheduled arrival date unless for reasons beyond our control, of force majeure or failure on your part to pay the final balance.  In circumstances where we are unable to provide the holiday booked, we will return to you, all monies paid or offer you an alternative holiday of comparable standard.

 

1.5  Liability

We accept responsibility for death, injury or illness if resulting directly from any negligent act and/or omission of our employees or agents, together with our suppliers and subcontractors whilst acting within the scope of, or in the course of, their employment.  We will accordingly pay to our clients such damages as might have been claimed in respect of death, illness or injury caused by such negligence, as accepted under English Law, in the provision of any part of the arrangements for your holiday.

 

1.6  Personal Injury

If any client suffers death, illness or injury whilst overseas arising out of activity which does not form part of the foreign inclusive arrangement, we shall at our discretion offer advice, guidance and assistance to help you in resolving any claim you may have against a third party, provided we are advised of the incident within 90 days of the occurrence.  Where legal action is contemplated our authority must be obtained prior to commencement of proceedings and be subject to your undertaking to assign any cost recovered or any benefits received under an appropriate insurance policy to ourselves.  Our costs in respect to the above on behalf of you and your party shall not exceed £5000.

 

1.7  Insurance

We strongly recommend that clients take out their own personal holiday insurance and we decline responsibility for those who are not covered.

 

1.8  Your Responsibilities

As party leader you are deemed to accept full responsibility for all members of your party.  We reserve the right to request a security deposit of €2000 which will be used only in the event of damage/breakages to the structure or contents of the chalet or villa.  Any damage or breakages caused by neglect or misuse will be charged to you and must be settled in full before departure (copies of receipts can be provided).  All guests must undertake to behave in such a manner as not to disrupt or prejudice the reputation of Alp Leisure Ltd with the owners of its properties, local residents or its staff.  The holiday of any guest or party in breach of this clause may be terminated immediately and without compensation, and Alp Leisure Ltd will have no further obligation to them.  Guests staying in our chalets or villas with Jacuzzis, saunas or swimming pools use them at their own risk, and Alp Leisure Ltd accept no responsibility for any accidents or injuries whilst using these facilities. 

 

1.9  General

Bookings are made subject to the terms and conditions of the property owners.  In accordance with French law, smoking is strictly forbidden within the chalets and villas.  Pets are not allowed in chalets or villas unless agreed and confirmed at time of booking.  The number of guests in each chalet or villa must not exceed the maximum as quoted on our website.  Persons aged 16 and above are classed as adults.  Children must be supervised at all times whilst using any facilities including, but not limited to, Jacuzzis, swimming pools, saunas and gyms.  Outdoor shoes and ski boots must not be worn inside the chalets.

 

1.10  Payment for Chalet or Villa Rental

Your deposit and final balance may be paid in any of the following ways; (1) Credit card (Visa or MasterCard) - the amount debited will be in Euros.  (2) Euro cheque or bank transfer to our French account.  (3) Sterling cheque or bank transfer to our UK account, to be converted to the Euro equivalent using the Oanda inter-bank exchange rate on the day the payment is due.  This amount is entered on your booking form for your deposit and communicated to you when we ask for your balance.  Please note that the quoted exchange rate will be valid for a maximum of 3 working days whilst we wait for your payment to arrive.  For payments received after this, we reserve the right to apply the exchange rate on the day we receive the funds and any depreciation will be taken into account when you settle your final balance or end of stay invoice.  When paying by bank transfer or cheque all commissions and bank charges are to be covered by the sender of funds and any outstanding differences will be added to your balance.  

 

1.11  Settlement of End of Stay Invoice

All outstanding bills at the end of your holiday must be settled prior to departure and may be paid in any of the following ways; Visa or MasterCard (the amount debited will be in Euros), Euro cheque, Euro travellers’ cheque or Euro cash.  Please note we do not accept Sterling payment for the settlement of your end of stay invoice.  As below, credit card payments for 3PSP’s will incur a 1% fee to cover our costs.  Although we do everything in our power to ensure your end of stay invoice is correct, in the circumstance that Alp Leisure Ltd receives bills on your behalf which have not been added to your end of stay invoice, we reserve the right, within 45 days of your departure, to invoice you for these costs.  After this period your account will be closed and any outstanding cost would be accepted by us.

 

2.  Services Terms and Conditions

2.1  Services

These are items provided during your stay over and above the chalet or villa rental and fall into three categories; (1) provided directly by Alp Leisure Ltd (including such items as food and drink, nanny and massage/beauty therapy among others); (2) provided by a supplier of Alp Leisure Ltd; and (3) provided by a non contractual third party service provider (description directly below).  Certain of these items are pre-reserved on your behalf. 

 

2.2  Non-contractual Third Party Service Providers (3PSP)

Sometimes we may arrange the services of a 3PSP e.g.  guide de montagne, private ski instructor, nanny, masseur, beauty therapist, fitness instructor, hairdresser etc.  not under the employ of Alp Leisure Ltd and accept payment from you on their behalf.  We will inform you when we are using a 3PSP, but any contract that exists will be directly between you the client and the 3PSP.  Although we do our utmost to vet all 3PSP’s we use, we accept no liability for a 3PSP arranged on your behalf.

 

2.2  Booking and Confirmation

For pre-reserved services some suppliers and 3PSPs require you to pay in full in advance of your reservation - an example of this would be certain ski schools in the area.

 

Services provided by Alp Leisure Ltd and also some of our suppliers and 3PSP’s, may be settled with your end of stay invoice.  In this instance you must complete a request form at the time of booking, accepting on behalf of your party, the terms of these booking conditions and pay a deposit of €200.  A contract will exist between you and Alp Leisure Ltd, the supplier or the 3PSP when we issue confirmation and receipt of deposit.

 

Some services and suppliers do not require a deposit (for example food and drink, ski hire) and in such cases payment terms apply as below.

 

2.3  Payment of Balance

The balance of any services will be invoiced at the end of your holiday and must be must be settled prior to departure.  This can be paid in any of the following ways: Visa or MasterCard (amount debited will be in Euros), Euro cheque, Euro travellers’ cheque or Euro cash.  Payments made by credit card to Alp Leisure Ltd on behalf of a 3PSP will incur a 1% fee to cover our costs.

 

2.4  Cancellation by You

Cancellation of any services booked by you must be in writing, with at least 8 weeks prior notice.  If you cancel within 8 weeks of your arrival date the full price of the booking will be payable.  

 

2.5  Cancellation by Us

If through circumstances beyond our control we are forced to cancel your booking we will refund all monies paid.  We will do our utmost to find an acceptable replacement, but we cannot be held responsible for any additional costs incurred thereby.

 

2.6  Transport

Alp Leisure Ltd use sarl First Class Private Luxury Transport for reservations in the first instance.  First Class Private Luxury Transport is a subsidiary of Alp Leisure Ltd, and all bookings are subject to the terms and conditions of sarl First Class Private Luxury Transport which are supplied to you on reservation or available on www.firstclass-transport.com.  

 

2.7  Winter Holidays

 

2.7i  ‘In Resort’ Chauffeur Service 

This service is provided for the exclusive use of Alp Leisure Ltd guests only.  For reservations made in advance, our aim is to meet you at the pre-agreed time.  For immediate reservations, we aim to respond within 15 minutes of your request.  Although we will do everything in our power to comply with the above guidelines, due to traffic and road conditions and circumstances beyond our control, we cannot be held responsible for delays or consequences thereof.  All reservations must be made with either the chalet manager, or directly with the chauffeur on duty.  For all bookings our chauffeurs will wait for a maximum of 15 minutes beyond the agreed pick up time.  Children under the age of 12 must be accompanied by an adult.

 

First Class Private Luxury Transport can also provide a local transfer service for reservation by Alp Leisure Ltd guests, bookable in advance with our customer services manager or in resort on a first come first-served basis.  Please note same-day cancellations will be charged in full.  Examples of local transfers would be Courchevel or Mottaret to Méribel, etc.  

 

2.7ii  Spa Pleisure Massage & Beauty Therapy

Our therapists may be booked in advance with our customer services manager or in resort on a first come-first served basis.  Please note same-day cancellations will be charged in full.  All therapists are fully qualified and insured.

 

2.7iii  Childcare & Nannies

Our nanny to child ratio is for your children’s safety and enjoyment, please take this into account when booking.  For children aged 6 months to 4 years the minimum ratio is 1 nanny for 2 children.  For children aged 5 years and over the ratio is 1 nanny for 4 children.  We do not accept liability if these ratios are not adhered to.  

 

2.7iv  Ski Guides/Instructors (3PSPs)

Guides des Hautes Montagnes and private ski instructors will work with up to 7 people in a group provided that all members are of a similar standard.  Please note that to ski with a Guide de Haut Montagne you must be confident skiing off-piste.  We cannot be held responsible for the overstating of skiing level and thus any consequent booking cancellations.
